Document Management Standard Features

Our system come with methods for managing documents addressing the following standard areas key to any document management system:

Location: The documents will be stored on your hosting server. Physical journeys to filing cabinets and file rooms are analogous to the onscreen navigation required to use a document management system.

Filing: Documents will be grouped into categories and filed based on the predefined groups. Our Document management system will use a database to store metadata about documents and a File System to store the actual physical files.

Retrieval: Typically, retrieval encompasses both browsing through documents and searching for specific information. Staff will need to log into the web based to access documents

Security: Documents will be kept secure as only authorized personnel will be allowed and granted set of permissions for reading, modifying or deleting documents.

Disaster recovery: Set of procedures will be set to ensure documents can be recovered in case of destruction from fires, floods or natural disasters.

Retention period: Policies will be established and set on for example how long should documents be kept. As organizations grow and regulations increase, informal guidelines for keeping various types of documents give way to more formal records management practices.

Archiving:  Documents can be preserved for future readability.

Distribution: It is possible to distributed documents to the people that need them or to a group that entails to be notified of the availability of the document.
